The Database
6 questions
The database contains 102,757 Ontario realtor records. Of those, 41,268 include a verified email address and a corresponding Email Source URL.
Each record includes structured realtor and brokerage information:
• Realtor name and registration details
• Registration category, number, status, and expiry
• Brokerage name and trade name (where available)
• Brokerage address and postal code
• Brokerage telephone information
• Email address (where available)
• Email confidence score and confidence level
• Email Source URL (for all email-enriched records)
This is a complete Ontario realtor intelligence database — not simply an email list.
Yes. The database is specifically focused on the Ontario realtor market. Every record refers to an Ontario-registered real estate professional — not a Canada-wide dataset distributed across multiple provinces.
This geographic concentration is a key advantage for businesses specifically targeting Ontario.
No. The email data is only one component of the product. Customers receive the complete 102,757-record Ontario Realtor Database, of which 41,268 records are email-enriched.
The remaining approximately 61,489 records still contain complete realtor and brokerage information. The product is an Ontario Realtor Intelligence Database — not simply an email list.
The database contains 41,268 Ontario realtor records with email addresses. This represents approximately 40.2% email coverage across the complete 102,757-record database.
Every one of the 41,268 email records includes a corresponding Email Source URL — giving 100% source-URL coverage across the email-enriched portion.
Yes. Because the data is delivered in a structured format, you can filter and segment records based on available fields, including:
• Brokerage
• Registration category and status
• Postal code
• Email availability
• Confidence level
This makes it straightforward to build targeted subsets for specific campaigns, territories, or analysis workflows.
The database is designed for B2B businesses that sell products or services to Ontario real estate professionals, including:
• PropTech and realtor CRM companies
• Mortgage companies and brokerages
• Insurance providers
• Real estate marketing agencies
• Brokerage recruiting teams
• Financial service companies
• Photography, staging, and vendor businesses
• Any B2B service provider targeting Ontario realtors
The database also supports non-outreach uses such as market research, territory planning, and CRM enrichment.
Source-Backed Emails
3 questions
Every one of the 41,268 email-enriched records includes an Email Source URL — the specific webpage where the email address was found during the enrichment process.
This provides transparency and allows customers to:
• Review where an email was found
• Perform manual verification
• Audit individual records
• Maintain provenance information for each enriched contact
Yes. There is 100% Email Source URL coverage across all 41,268 email-enriched records. Not one email record is included without a corresponding source citation.
The database contains 36,518 unique source URLs across 9,365 unique source domains — brokerages, professional directories, agent websites, and other open-web publications.
No deliverability guarantee is made. Email addresses were collected from publicly available sources and include confidence scores and source information as described.
Email addresses change over time as realtors switch brokerages, replace email accounts, or leave the industry. We recommend applying your own verification processes before large-scale use.
The average confidence score across the email-enriched portion is 87.92 out of 100, with 82.46% of records rated High or Very High Confidence.
Pricing & Purchase
6 questions
The complete Ontario Realtor Database costs CAD $999 + HST — a one-time purchase. Ontario HST (13%) is added at checkout. There are no subscriptions, recurring fees, or seat limits.
Assigning the entire CAD $999 (pre-HST) purchase price exclusively to the 41,268 email-enriched records:
$999 ÷ 41,268 ≈ $0.02421
Approximately 2.42 cents per source-backed Ontario email record.
That calculation gives zero value to the additional ~61,489 Ontario realtor records included in the same purchase.
Using all 102,757 records:
$999 ÷ 102,757 ≈ $0.00972
Approximately 0.97 cents per Ontario realtor record across the full database.

Email Outreach & Deliverability
7 questions
You load the database into a cold email platform such as Smartlead.ai, connect a pool of sending mailboxes, and let the platform drip the messages out on a daily schedule.
The short version:
1. Buy 2-3 lookalike domains (never send from your main domain)
2. Create mailboxes on those domains
3. Set up SPF, DKIM and DMARC authentication
4. Warm the mailboxes for 2-4 weeks before real sending
5. Import and segment the database
6. Build a 3-4 step drip sequence
7. Cap each mailbox at roughly 15 emails per day
Our full walkthrough covers every step in detail.
Read the Email Outreach Guide Around 15 per day per mailbox is the widely recommended ceiling for cold outreach.
Mailbox providers score sending behaviour per account, not per campaign. A mailbox that quietly sends 15 messages a day looks like a working professional. A mailbox that fires 200 in an hour looks like a bulk sender and gets filtered.
Ramp up rather than starting at the cap:
• Weeks 1-3: warm-up traffic only
• Week 4: 3-5 real emails per day
• Week 5: 8 per day
• Week 6: 12 per day
• Week 7 onward: 15 per day steady state
Staying under the cap is the single biggest lever you control.
You add mailboxes rather than raising the per-mailbox limit. The 15-per-day figure is a per-account behaviour signal, so the safe way to cover more of the list is more warmed accounts, each still sending its own modest daily amount.
Every additional mailbox needs the same treatment as the first: its own authenticated domain records, a full 2-4 week warm-up, and the same daily cap once it goes live.
A sending platform such as Smartlead.ai rotates sends across the whole pool automatically and funnels every reply into one unified inbox, so multiple mailboxes are managed as a single campaign rather than separate logins. We are not affiliated with Smartlead.ai — confirm current features directly with the provider.
See the Full Setup Walkthrough It is the make-or-break factor. An email that lands in spam is functionally an email you never sent — the open rate on a spam-foldered campaign is effectively zero, no matter how good the offer or the data behind it.
Two things decide placement more than anything else:
1. How much you send from one account per day. Low, consistent, human-looking volume keeps a mailbox in good standing.
2. The words you use. Filters read the body copy. Promotional and high-pressure language gets scored down before a human ever sees it.
Get those two right and everything else in your campaign has a chance to work.
Spam filters weight promotional and urgency language heavily. Words and phrases to keep out of your subject lines and body copy include:
• Free, 100% free, no cost
• Guarantee, risk-free, no obligation
• Act now, urgent, limited time, expires today
• Click here, buy now, order now
• Cash, earn money, income, investment
• Winner, congratulations, special promotion
• ALL CAPS subject lines and multiple exclamation marks
What lands in Primary instead: plain conversational language, a specific reference to the recipient's brokerage or region, one clear question, no more than one link, no images or tracking pixels, and a body under roughly 120 words. Write it the way you would write to a colleague.
Full Word Lists and Copy Rules Yes. Run an inbox placement test before pushing real volume through a new sequence, and re-test whenever you change the copy.
Send the sequence to a set of seed accounts across Gmail, Outlook and Yahoo and confirm it lands in Primary rather than Promotions or Spam. Then watch your daily metrics: bounce rate above 3% or a sudden drop in reply rate means you should pause the affected mailboxes and fix the underlying issue before continuing.
Always verify addresses before sending. Email data ages as realtors change brokerages, so verification protects your sender reputation.
No. Deliverability and legal compliance are separate matters.
Sending practices, volume caps and word choice affect whether your message reaches an inbox. They say nothing about whether the message is permitted under Canada's Anti-Spam Legislation.
Every commercial electronic message you send must satisfy CASL on its own terms, including consent, sender identification and a working unsubscribe mechanism. This is not legal advice — consult a qualified legal professional before running a commercial campaign.

The database includes an Email Source URL for every enriched email record, which provides data provenance and helps customers evaluate where an email address was publicly displayed.
However, compliance with Canada's Anti-Spam Legislation depends on how a customer uses the information and the circumstances surrounding each communication. Customers remain responsible for evaluating their own CASL obligations and determining whether a particular communication is permitted.
This is not legal advice. Consult a qualified legal professional before sending commercial electronic messages.
No. A Source URL shows where an email was found. It does not by itself guarantee that a particular commercial message is permitted under CASL or any other law.
The customer remains responsible for determining whether their intended use satisfies applicable legislation.
A Canada-wide database may carry a larger headline record count, but those records are distributed across multiple provinces. For a business specifically targeting Ontario, the more important metric is: how many Ontario contacts are actually included?
CrawlMintData provides 102,757 Ontario realtor records including 41,268 email-enriched Ontario records — a depth of Ontario-specific coverage that a national database spread across ten provinces cannot match on a per-province basis.
