Buy your sending domains and mailboxes

Never send cold email from your primary company domain. Register 3–5 lookalike domains (yourbrand-data.com, getyourbrand.co, etc.) and attach mailboxes to those instead. Most sending platforms, Smartlead included, let you provision domains and mailboxes from inside the dashboard. If a sending domain ever gets burned, your real business email is untouched.

Authenticate every domain: SPF, DKIM, DMARC

This is non-negotiable. Google and Microsoft now reject or spam-folder bulk senders without all three records in place. Add them at your DNS provider before you send a single email, then use the built-in checker to confirm each mailbox passes. A missing DKIM record alone will sink an otherwise perfect campaign.

Warm up for 2–4 weeks before the first real send

Turn on automated warm-up on every mailbox and leave it running. The network sends and replies to messages between real inboxes, teaching providers that your addresses hold genuine conversations. Start real outreach at 3–5 emails per day per inbox and climb to 15 over three to four weeks. Warm-up should stay on permanently, running alongside your campaigns.

Import the dataset and segment before you write

Upload your CSV and map the columns — name, brokerage, city, email. Then segment: separate lists by region, brokerage size or confidence level. A message written for a downtown Toronto brokerage should not go to a rural independent agent. Filter on the confidence score first and send to the High and Very High records before the rest.

Build a 3–4 step drip sequence

One email is not a campaign. Send the first message, then wait 3 days, 4 days and 5 days between follow-ups. Follow-ups go in the same thread and stay short — two or three sentences. Most positive replies to cold campaigns arrive on the second or third touch, not the first. Set the sequence to stop the moment someone replies.

Set the daily limit and enable inbox rotation

Cap each mailbox at 15 sends per day, add a randomised 60–180 second delay between emails, and restrict sending to weekdays between 8am and 5pm local time. If you run more than one mailbox, attach them all to the campaign and let the platform rotate through them automatically — the load spreads evenly and no single account ever spikes.

Watch deliverability daily, not weekly

Track bounce rate, open rate and reply rate per mailbox. Bounce rate above 3% means pause and clean the list. A mailbox whose open rate collapses is landing in spam — pull it out of rotation, let warm-up run for a week, then reintroduce it. Run a monthly inbox placement test to confirm you are still hitting Primary rather than Promotions.

Is the Number.

Mailbox providers do not evaluate your list — they evaluate your behaviour. A real professional sends a modest number of individual emails through the working day. Fifteen sends, spaced out over eight hours, is indistinguishable from that.

Push a single account to 50, 100 or 300 a day and the pattern breaks. The sending curve goes vertical, the recipient domains all differ, the content repeats — and the account gets throttled, then filtered, then blocked. Recovering a burned domain takes weeks, if it happens at all.

Fifteen per inbox is the conservative ceiling that keeps an account healthy indefinitely. If you need more reach, add another warmed mailbox rather than raising the per-account number. The daily cap is the one rule you never bend.

Factor 1 — Daily Volume Per Account

Providers score sending behaviour per mailbox. Staying at or below 15 a day, on weekdays, in business hours, with randomised gaps between sends, keeps that score healthy. Spikes, weekend bursts and hundreds of identical sends from one address are the fastest route to the spam folder.

Factor 2 — The Words You Use

Spam filters read your subject line and body for sales-pitch patterns. Promotional vocabulary, urgency language, money claims, heavy formatting and link stuffing all push a message out of Primary. Write like one professional emailing another, not like a broadcast.

  • One link maximum, and none at all in the first email
  • Short subject lines, lowercase, no punctuation or emojis

Also avoid: ALL CAPS, multiple exclamation marks, coloured or oversized fonts, attachments, tracking-heavy link shorteners, and the word “unsubscribe” styled like a marketing footer.

Personalise with the fields you already own — first name, brokerage, city. A first line that clearly could not have been mass-produced is the single strongest signal that this is a real one-to-one email.

Test Before You Scale

Before pointing 100 mailboxes at your list, run an inbox placement test through a seed-list tool. It shows you exactly which providers place you in Primary, Promotions or Spam. Fix the copy and the authentication records until you are landing in Primary consistently — then turn on full volume. Re-test monthly; deliverability drifts.
